GRANTS MANAGER
NATURE OF WORK
This is administrative work assisting the senior Grants Manager with drafting and enforcing FNIH grant agreements and report requirements for multiple program initiatives; ensuring the accuracy, integrity, and legal compliance of all grant-related records; appropriately responding to internal and external requests for grant information and analysis; and implementing online application forms and processes. Work involves assisting grant program officers by tracking, soliciting, and performing a first-level review (particularly financial) of grant reports. Work includes contributing strong technological and editorial skills to department projects such as annual funder reports. Work includes primary responsibility for managing, upgrading, training and resolving issues with the grants management database. Work is bound by established office procedures and foundation policies. Work is performed under the senior Grants Manager.
ESSENTIAL FUNCTIONS
Assists the senior Grants Manager to develop award agreements with grantee institutions; documents legal compliance with the U.S. Patriot Act in the administration of domestic and international grants; ensures compliance with IRS requirements.
Monitors grantee compliance with technical and financial reporting requirements; transmits report reminders and approval notifications; performs first-level review of reports, particularly financial; manages hard and soft grantee report files and prepares grant status reports for program officers; ensures timely report status updates in grants database; maintains and updates grantee contact records.
Ensures the integrity, order, and completeness of the grants database and grant files to comply with legal, auditing and foundation requirements; creates situation-specific reports and analyses in response to internal and external information requests.
Holds primary responsibility to maintain optimal capability and usability of the grants database software, MicroEdge GIFTS; implements server and software upgrades and resolves issues in coordination with external IT support staff; serves as in-house help desk to train users, design reports, and resolve issues.
Utilizing the GIFTS IGAM module, designs online applications, provides applicant technical support, processes proposal submissions, reviews submissions for data quality and completeness, and packages proposals to meet reviewer needs.
Maintains and updates the FNIH grants management manual of policies and procedures.
Assists with departmental projects such as preparation for annual funder reports and meetings by compiling, editing, and formatting graphic and textual material; managing external vendor involvement; and assisting others with their responsibilities as needed.
PHYSICAL DEMANDS AND WORKING ENVIRONMENT
Work is performed in an office environment and involves everyday risks or discomforts which requires normal safety precautions when operating equipment and performing the work. Work is essentially sedentary with occasional walking, standing, bending, and carrying items under 25 pounds such as books, papers, small parcels, etc.
MINIMUM QUALIFICATIONS
Work requires a Bachelor’s Degree with one to three years of applicable grants management experience; or any equivalent combination of education and experience that provides the following knowledge, abilities, and skills:
Knowledge (basic) of grants management procedures, best practices, and legal requirements.
Ability to quickly learn new technical tools and software and to optimally implement them for others’ use.
Ability to communicate effectively, both orally and in writing.
Ability to edit others’ written work to produce clear, jargon-free text.
Ability to work effectively with staff, partners, and the public using tact and diplomacy.
Ability to appropriately handle confidential matters and information.
Ability to multi-task and prioritize work with careful and consistent attention to detail.
Ability to design and implement effective workflow processes and procedures
Ability to work in a changing environment and as part of a team, taking on tasks at all levels.
Skill in utilizing a database to store, sort, and extract user-friendly data to support a grantmaking endeavor. High level of competence with MicroEdge GIFTS preferred.
Skill in using Microsoft Excel to organize, verify, and present financial detail.
Skill in assisting others to use standard office software, specifically Microsoft Office Suite.
